Dear Club Chairperson and Secretary,

Please be reminded that the Annual General Meeting (AGM) of Western Province Athletics (WPA) will be held as follows:

AGENDA FOR THE WESTERN PROVINCE ATHLETICS ANNUAL GENERAL MEETING 2026

1. Submission of delegates’ credentials.
2. Confirmation of the date of posting of the notice convening the meeting, reading of
   such notice: and confirmation of the presence of a quorum.
3. Confirming the agenda for the meeting.
4. Adoption of the minutes of the previous Annual General Meeting.
5. Submission, discussion and adoption of the WPA Board report
6. a) The presentation and adoption of the 2025 Audited Financial Statements
   b) Discussion of the Income and Expenditure statement for the current financial year
7. Recommendations for licence fees and subscriptions
8. Motions & Constitutional Amendments
9. Acceptance of the Fixture list for athletic meetings for the forthcoming year
10. Appointment of a Legal Advisor and an Auditor for the forthcoming year
11. Ratification of New Clubs
12. Closure

Club chairpersons and secretaries are kindly requested to take note of the meeting arrangements and the constitutional requirements governing the submission of motions.
